VLO Taskforce Meeting October 15, 2014

• Future organization of the taskforce
  • VLO-TF will continue as a CLARIN-D effort (i.e. will not be matched by an ERIC mirror TF)
  • interfacing with actual development staff: development work for the VLO is coordinated by the technical management (AP3)
  • Agreement: synchronization with AP3 will be achieved using this TRAC's VLO tickets
  • Task until November 30, 2014: update existing VLO tickets with discussion results of today's meeting, add new tickets for today's issues (Susanne, Thorsten); provide informed time estimates for ticket resolving (Dieter)

• Documentation efforts
  • we need a good user level documentation
  • we need a good data provider level documentation (e.g. specification of mandatory/suggested metadata)
  • Pending issue: compile a list of CLARIN-D recommended profiles and components that are well supported by the VLO (e.g. in terms of facet coverage)
  • Task until December 23, 2014: distribute a draft document (Susanne, Peter, Thorsten with support from others)
  • Task: make sure to coordinate with CmdiBestPracticeGuide group (via Axel)
  • Task: create a profile that exclusively focuses on metadata elements that are used and displayed in VLO search facets as an illustrative example (Hannah, Thorsten)

• Usage of vocabularies
  • Task until October 31, 2014: distribute an updated version of the guidelines and rules for the usage of vocabularies with explicit MUST, SHOULD, MAY specifications (Thomas, see slides, p. 1–4)
  • Task: compile a list of resource types/classes already in use in the VLO (Thomas), Pending: propose a unification strategy for the values

• Facet values
  • Agreement: facet values are always representing properties of a resource, not properties of e.g. resource creators, actors
  • Task: find a (standardized) comprehensive list of historical country names; ISO 3166-3 is not sufficient (Jörg)

• Facets to display in the VLO
  • Pending decision: include a TimeCoverage? search facet with open date range datatype (proposal)
  • Pending decision: include a LifeCycleStatus? search facet with DC-3818 semantics
  • Pending decision: include a Licence search facet
  • Pending decision: remove the Continent facet?
  • Pending decision: agree on definitions for already existing facets
  • Task: provide an overview of the exploitation rate of the facets Keyword and Subject based on VLO recorded queries (Dieter)
  • Task until November 3, 2014: send list with display facets that should be displayed on resource information pages (all)

• Quality management
  • Task, ASAP: create a feature request ticket to introduce a curation step for harvested metadata that will e.g. unify spelling variants for specific metadata fields (either on the raw harvested data before importing to the SOLR index or directly on the SOLR index after import) (Dieter: done)

• Postponed issue: discussion and conclusion on the representation of resource relations
